The evening problem every cafe has

A coffee shop earns most of its money before two in the afternoon. The lease, the staff and the machine are paid for all day, but the room empties out by four. Some cafes solve that with alcohol, which means a licence, a new supplier and a different insurance conversation. Trivia is the version of the same idea that needs none of those things.

Pick the hour before you pick the questions

Cafes fail at trivia mostly by copying a pub schedule. A pub quiz starts at eight and finishes near eleven. A coffee shop crowd will not do that, and your staff should not have to either. Start at six or half past six, run three rounds, and be done by half past seven. That is a whole evening for a customer who has to be up at seven and it is one extra shift-hour for you.

Keep the same weekday every week and put it on the chalkboard permanently rather than as an event announcement. Regulars are your entire audience at the start, and they need to see the date four or five times before they bring a friend. The second month is when a cafe quiz either takes root or does not.

Decide what you are selling before the first night. Filter coffee and a slice at a small set price is easier to run than a full evening menu, and it gives the staff a script. A quiz that adds ten covers but doubles the kitchen work is not a win.

Formats that stay under the noise floor

Bar Trivia has five round types, six with Music Bingo on Hospitality Group, and only some of them belong in a cafe. Everyone Answers is the default: every team submits within the time limit and nothing is a race, so the room stays at the volume of normal conversation. Everyone Scores is the other good one, because the fun is in the discussion at the table rather than in reaction speed.

Buzzer Race is genuinely loud, because people celebrate. Keep it for the last round if you want a finish with some energy, and skip it entirely if you share a wall with flats. Music Bingo is on the Hospitality Group plan and needs audio, so you have to be comfortable with sound in your room and responsible for whatever music licence your country and venue require. Quizado does not provide one.

Keep the question count modest. Eight questions per round and three rounds is twenty-four questions, which is plenty for an hour once you allow for people ordering. A cafe quiz that overruns is worse than one that ends slightly too early.

What it costs a small cafe to run

The software cost can be nothing. The free plan covers Bar Trivia, free question packs, big-screen themes, one venue and up to 16 players without a card. For a twenty-seat cafe playing as table teams, that ceiling is often enough for months. When you outgrow it, the Neighborhood Pub plan lifts the player cap and opens the premium question library.

The real cost is staff hours. One person hosting for ninety minutes, plus fifteen minutes of setup, plus whoever is on the machine. Compare that with the extra covers before you decide whether the night works. Most cafes find the coffee margin on twelve extra people covers the shift comfortably.

Both the host device and the guest phones need internet, and there is no offline mode. Cafes usually have the best wifi on the street, so this is rarely the problem it is in a cellar bar, but test the back corner anyway before your first night.
